Key responsibilities as Project Manager and Advisory Coordinator

• Defining the scope of the project in collaboration with senior management
• Creating a detailed work plan which identifies and sequences the activities needed to successfully complete the project
• Acquiring resources (time,equipment) required to complete the project
• Developing a schedule for project completion that effectively allocates the resources to the activities
• Reviewing the project schedule
• Focusing on the objectives and measures upon which the project will be evaluated at its completion Implementation area:
• Executing the project according to the project plan
• Setting up files to ensure that all project information is appropriately documented and secured • Monitoring the progress of the project
• Establishing a communication schedule to update stakeholders Control area
• Preparation of reports on the project for management
• Monitoring all budgeted project expenditures
• Managing all project funds according to established accounting policies and procedure
• Preparing financial reports as outlined in funding agreements

Projects related but not limited to: migration of mailing boxes, mailing lists, resources, users from one system into another in different time zones, setting of totally new virtual and/or physical environment (production, testing environment), this includes: servers installation and configuration, preparing and implementing monitoring, back up, health checks, licence registration and updates if applicable, operational systems, system upgrades etc

Key responsibilities as Dispatcher

• Constant contact with clients from different countries
• Analysis of incoming projects and assigning them to a proper resource based on open capacity, complexity of the project and skills and experience of a potencial candidate
• Determine the priority level of requests
• Preparing and updating of monitoring file
• Problem solving
• Collecting all documents needed for starting the project (based on compliance rules)
• Meetings with internal managers

Key responsibilities

• Transfering of Payroll Processes from Germany to Poland
• Accounting of payroll activities
• Cooperation with internal and external clients
• Cooperation with the payroll outsourcing vendor
• Processing correct garnishment calculations and compliance
• Performing transactions accordingly to country specific regulations
• Process reporting
• System data entries
• Answering payroll questions reported by employees through Generic Mailbox
• Analyzing and solving possible payroll issues reported by employees
• Handling administrative issues and current problems in accordance to procedures
• Knowledge of data privacy rules
• First hand observation to learn new skills and to get all possible information about specification of a new job role
• Taking part in creation of a new payroll department focused on external
clients/companies
• Preparing and improving internal processes and procedures
• Regular net meetings for conducting processes mentioned above
• Creation of overpayment letters, calculation of paternity leave etc
